ADMINISTRATIVE OFFICER   1 POSITION

JOB PURPOSE

The Administration Officer will undertake Human Resource and  administration tasks, ensuring the rest of the group staff have adequate support to work efficiently.

The ideal candidate will be a professional  registered with Zambia Institute of Human Resource Management , competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.

The Administration Officer will  ensure smooth running of our companies’ offices and contributing to  driving sustainable growth

KEY TASKS

  • Recruiting and interviewing potential applicants on experience, skills, and education
  • Develop or revise Staff Performance management tools
  • Running Group Payroll and maintenance of payroll records
  • Overseeing employee health and safety procedures
  • Organizing and managing new employee orientation, on-boarding, and training programs
  • Updating job requirements when needed
  • Covering all legal compliance for human resource according to the Zambia
  • Employment code requirements
  • Maintaining employee records and paperwork
  • Answering employee questions and addressing employee concerns with company
  • Reviewing procedures for employee safety, welfare, wellness and health
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Supervise administrative staff and divide responsibilities to ensure performance
  • Manage agendas/travel arrangements/appointments etc. for the Senior Management
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Assist colleagues whenever necessary

EDUCATION & QUALIFICATIONS

  • Grade 12 with 5 ‘O’ levels
  • Diploma or higher in Human Resource Management and a Registered Member of Zambia Institute of Human Resource Management

EXPERIENCE & SKILLS

  • Two to three years’ experience as an office administrator and Human Resource professional  or relevant role
  • Outstanding communication and interpersonal abilities with ability to influence and negotiate
  • Excellent verbal and written communication skills
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures
  • Excellent knowledge of MS Office  and Payroll software.
